Profesionisti Recruitment Agency on behalf of a development organization in Albania, is looking for a suitable candidate for the position of Office Assistant. Project goal is to contribute to economic growth and increase employment opportunities in Albania.
Summary of the position: In this role, you will support management and staff in administrative, logistic and financial field.
The Office Assistant’s tasks shall cover i. a. but are not limited to the following:
Tasks in administration and logistics
· Responsible for managing of the local office and coordination of program administration and logistics on a local level.
· Provide interpretation and translations from Albanian to English and vice versa.
· Provide local support to potential service providers/partners/consultants.
· Supports the Finance manager for keeping track of local office costs. Manage cash box.
· Review and control of financial reports from partners for eligibility of expenditure and whether in line with the budgets approved.
· Assist Finance Manager with preparation of the payments in the e-banking system.
· Assist in procurement processes by preparing requisitions and checking their completeness and authorization/documentary support to ensure that specifications, budget provisions and all other requirements are in order.
· Support in preparation of periodical reports and during internal and external reviews and auditing of the project.
· Documenting of working time and annual leave and sick leave days for all staff.
· Coordinate with IT specialist as office needs.
· Preparation and submission of periodic assets reports, including physical verification of inventory items.
· Maintain contract database of partners and grantees as per program.
Tasks in finance
· Responsible for petty cash, purchase book and documentation of procurement procedures. Settle financial aspects of travels and logistics.
· Review and control of financial reports from partners for eligibility of expenditure and whether in line with the budgets approved.
· Support with the documentation for VAT reimbursement.
The following skills and expertise are needed:
· University degree.
· 3-5 years of similar experience in the position, preferably in organizations with more than 10 employees.
· Initiative creative and result – oriented person.
· Attentive to details.
· Ability to work independently but also as part of a larger team.
· Outstanding communication and presentation skills in Albanian and English.
· Integrity to the staff and the organization.
