TIRANA BANK, one of the leading banks in Albania and member of Balfin Group, is seeking to welcome a qualified candidate to join the Administration Department in the position:

Overall Job Definition

Archive Specialist will be responsible for the implementation of the regulations on achieving process.

Main Responsibilities:


  • Administers, coordinates and supervises archive activities in accordance with procedure in force;
  • Ensures the expertise of storage of documentation, deadlines for storage, according to the law on archives;
  • Checks the files that have met the storage deadlines, destroying them according to the archival rules;
  • Manages all archival resources and Ensures cooperation and integration of the administrative resources with the business and other parts of the Bank;
  • Provides guidance and support for all archive issues to Branches Network staff and Head Office;
  • Prepares Schedules for periodic archive requests;
  • Manages, monitors, resolves and follows up, Periodic and Ad hoc Needs from Bank Business units related to archive process;
  • Prepares relevant forms and requests for archive process that will be signed from his/her supervisor;
  • Makes proposals to his/her manager to improve the process,
  • Manages all steps of requests and obtaining relevant approvals in “Software System” (record management archive software solutions) regarding recording, data & saving period and permanent destruction (for documentation that have met deadlines) as well;;
  • Takeovers of sealed boxes, containing physical documentation in hard copy;
  • Manage the Initial registration, indexing of sealed boxes;
  • Manage the Archiving (storage) process;
  • Manage the requests for retrievals (relevant documents in Bank or outsource archive);
  • Manage the Transportation services, if so required by the Bank;

Support Administration Department Manager in:


  • Monitoring contracts of archive process,
  • Providing accurate, updated and objective information regarding the archive process, and stages of the projects;
  • Contribution to policy/procedures development of the bank as far as archive issues are concerned;

Competencies / Skills:


  • University degree preferably in Law, Social Sciences, Economics
  • At least of 1 year of experience in relevant field;
  • Excellent knowledge in archive laws;
  • Good judgment;
  • Analytical ability;
  • An organized approach;
  • Integrity;
  • Highly responsible;
  • Well organized;
  • Teamwork;
  • Accuracy and attention to details;
  • The ability to work under pressure and meet deadlines;
  • very good spoken and written communication skills.
