We are seeking a detail-oriented and proactive Sales Operations & Administration Executive to join our growing real estate team in Tirana. The ideal candidate will support the Sales Director in managing daily sales operations, ensuring smooth coordination of documentation, contract management, reporting, and compliance across all real estate projects.

KEY RESPONSABILITIES:
  • Allocate incoming leads and monitor follow-up progress with the sales team.
  • Maintain and update the master unit availability list (stock inventory).
  • Manage pricing updates and promptly communicate any changes to the sales team.
  • Coordinate unit reservations and booking procedures in line with company policies.
  • Track sales targets, achievements, and pending deals to assist management decisions.
  • Prepare and distribute weekly and monthly sales dashboards and performance reports.
  • Prepare, review, and track Sales and Purchase Agreements (SPAs).
  • Liaise with the Legal Department to ensure all documentation meets regulatory compliance.
  • Manage digital and physical filing systems for signed contracts and customer documentation.
  • Prepare and organize handover documentation for completed units.
  • Maintain complete and accurate broker network documentation.
  • Issue payment schedules and invoices and coordinate with Finance for receipts and reconciliations.
  • Monitor payment progress for each sold unit to ensure timely collections.
  • Support commission calculations for brokers and sales agents.
QUALIFICATIONS & EXPERIENCE:
  • Bachelor’s degree in Business Administration, Real Estate, or related field.
  • Minimum 3 years of experience in real estate sales operations or administration.
  • Strong understanding of real estate documentation, contracts, and sales processes.
  • Excellent organizational and communication skills.
  • Proficient in Microsoft Office (especially Excel and PowerPoint) and CRM systems.
  • High attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Fluency in Albanian and English (written and spoken).
