Job position: Document Controller
Contract Terms: Indefinite
Location: Doha (Qatar).

Summary: We are looking for a Document Controller to join an International Company based in Doha (Qatar) with a heritage from 1945.

To maintain and manage the employee files and all Personnel documents and ensure that it is easily accessible while also ensuring their accuracy; responsible for sending and receiving Personnel-related documents from all concerned departments; ensuring documents are verified upon receipt for document tracking purposes.
Also responsible for creating new employees in the HCM system and ensuring the accuracy of information entered.

Duties and Responsibility:

• Organize and maintain the employees’ files with all electronic and hard copy documents as required.
• Ensure that critical documents & information are kept within the manual personnel files.
• Update and review the records' accuracy, editing where necessary to ensure they are up to date.
• Day-to-day responsibilities focus on sending, receiving, and tracking documents such as personnel action, final settlements, leave settlements, Requests for termination, reporting forms, and change of status requests.
• Receiving the hiring documents from HR and opening new employee files (manual).
• Creating a new employee in Oracle HCM, entering the essential information for new employees, and updating the recorded document.
• Arrange all resigned/terminated employees' files to finalize the final settlement process.
• Prepare the bank letter for resigned/terminated employees.
• Forward all documents related to RP cancelation to the passport officer to ensure the all-termination process has ended.
• Manage and maintain the Villa employee’s files.
• Conduct an annual archiving exercise.
• Create a process/ tracking system for document identification, classification, and filing.
• Improve and implement stricter physical controls and security of personnel filing room.
• Maintain confidentiality around sensitive documentation and information
• Handle internal and external audits about employee records, legal and regulatory requirements aligned with Labor law
• Provides recommendations to the next level for innovative solutions related to document tracking to facilitate change or improvement at a process level

Education:

• Bachelor's Degree in Accounting/Finance.

Work Experiences and required skills:

• two years of similar experience as a Document Controller
• Proven work experience as a Document Controller with Archival experience
• With a background in HRMS, ideally Oracle-based
• Knowledge of Electronic Document Management Systems
• Hands-on experience with MS Office and MS Excel

Language skills:

• Good English communication skills, both verbal and written (Arabic speaking is a +)

• Outstanding time-management
• Ability to multi-task and work with minimum supervision
• Must possess good people skills
• Well-presented, proactive, and able to interact at all levels

• Basic Salary: 740$ NET
