Administrative Assistant

Tasks

• To manage and coordinate Operations Group Head office’s administrative duties.
• to facilitate meetings directed by the Operations Group Head and make the respective logistic arrangements.
• to check documents submitted by departments before submitting the same to the Operations Group Head for approval.
• to organize and maintain reference and follow-up files with updated and accurate information.
• to assist with the follow-up of assignments given to the management staff.
• to manage and oversee consistent casework and ensure that all letters, emails and phone calls are responded appropriately in a timely fashion.
• to receive and file incoming letters, documents.
• to maintain a high level of confidentially with all areas of the job (internally & externally).
• to follow up all administrative and other tasks assigned by Head Groups as deemed necessary.
• to perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• to collaborate with the Chief of CEO Cabinet in the area of administrative subjects and all other issues.
• to develop constructive and cooperative working relationships with others and ensure to maintain them over time.

Requirements

• Bachelor degree; preferred 3+ years in a relevant position or equivalent combination of education and experience.
• Clerical -- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology.
• English Language -- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
• Turkish Language - (preferred)
• Computers literate -- Knowledge on applications of programs.
• Time Management –Good management of one's own time and the time of others.
• Critical Thinking -- Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
• Active Learning -- Understanding the implications of new information for both current and future problem-solving and decision-making.
• Oral Expression -- The ability to communicate information and ideas in speaking so others will understand.
• Oral Comprehension -- The ability to listen to and understand information and ideas presented through spoken words and sentences.
• Written Expression -- The ability to communicate information and ideas in writing so others will understand.
