Purchasing Coordinator

📍 Location: Tirana, Albania | 🏢 On-site | ⏳ Full-time, 15.00-23.00, Monday - Friday

About the Role:

Are you a detail-oriented multitasker with strong communication skills? We’re looking for a Purchasing Coordinator to support our Executive Purchaser in handling procurement tasks and ensuring smooth coordination between vendors, warehouse teams, finance, and logistics. You’ll play a crucial role in maintaining efficient purchasing operations, tracking shipments, resolving discrepancies, and optimizing cost efficiency.

What You’ll Do:

🔹 Purchase Order Management
  • Monitor and manage purchase orders, ensuring timely tracking and delivery.
  • Communicate with vendors and overseas agents to maintain accurate delivery schedules.
  • Identify and resolve order delays or discrepancies.
🔹 Data Analysis & Issue Resolution
  • Analyze receipts and reports to detect missing or short-shipped orders.
  • Work with vendors and shippers to claim credits or recover missing items.
🔹 Catalog & Spreadsheet Management
  • Maintain and update the master product catalog in collaboration with Product Development.
  • Track ongoing procurement issues and organize data for easy reference.
🔹 Logistics & Shipping Coordination
  • Work with warehouses, freight forwarders, and trucking companies to optimize delivery schedules.
  • Monitor shipment costs and identify savings opportunities.
  • Ensure accurate customs filing with brokers for cost efficiency.
🔹 Quality Control & Vendor Communication
  • Coordinate with QC teams and vendors to resolve product quality issues.
🔹 Financial & Billing Tasks
  • Process purchase order closures and billing.
  • Maintain a 4-8 week cash flow prepayment pipeline.
