Job Description:​



We are seeking a highly organized and efficient Office Manager to join our team in Tirana, Albania. As the backbone of our office operations, you will play a crucial role in ensuring smooth day-to-day functioning while supporting our staff and managing various administrative tasks.

  • Serve as the first point of contact for visitors and team members, providing a welcoming and professional atmosphere
  • Manage office supplies, equipment, and vendor relationships to maintain a well-stocked and functional workspace
  • Coordinate travel arrangements for staff, ensuring all logistics are handled efficiently
  • Oversee incoming and outgoing mail, managing correspondence and document filing systems
  • Collaborate with various departments to organize meetings, events, and team-building activities
  • Maintain office calendars and schedules, coordinating appointments and room bookings
  • Assist with basic accounting tasks, including processing invoices and managing petty cash
  • Implement and maintain office policies and procedures to enhance productivity and organization
  • Coordinate with external service providers, such as cleaning and maintenance crews
  • Support HR functions by assisting with onboarding processes and maintaining employee records
  • Proactively identify areas for improvement in office operations and suggest innovative solutions

Qualifications:​


  • Proven experience in office management, reception, or administrative roles
  • Excellent organizational skills with the ability to multitask and prioritize effectively
  • Strong communication skills in English and Albanian, both written and verbal
  • Proficiency in Microsoft Office suite and Google Workspace
  • Detail-oriented with a keen eye for accuracy and efficiency
  • Exceptional interpersonal skills with a customer-focused mindset
  • Ability to work collaboratively in a team environment while also taking initiative independently
  • Flexible and adaptable approach to work, with the ability to thrive in a dynamic environment
  • Problem-solving skills and the ability to remain calm under pressure
  • Basic knowledge of accounting principles and budgeting
  • Experience in managing office supplies and vendor relationships
  • Familiarity with organizing events and coordinating travel arrangements
  • Valid driver's license (preferred)
  • Bachelor's degree in Business Administration or related field (preferred)

Additional Information:​


The place of work will be at the headquarters of AUTO1 Albania, Tirana and the shifts provide a total of 40 hours per week, from Monday to Friday.
