Job Description:
We are seeking a highly organized and efficient Office Manager to join our team in Tirana, Albania. As the backbone of our office operations, you will play a crucial role in ensuring smooth day-to-day functioning while supporting our staff and managing various administrative tasks.
- Serve as the first point of contact for visitors and team members, providing a welcoming and professional atmosphere
- Manage office supplies, equipment, and vendor relationships to maintain a well-stocked and functional workspace
- Coordinate travel arrangements for staff, ensuring all logistics are handled efficiently
- Oversee incoming and outgoing mail, managing correspondence and document filing systems
- Collaborate with various departments to organize meetings, events, and team-building activities
- Maintain office calendars and schedules, coordinating appointments and room bookings
- Assist with basic accounting tasks, including processing invoices and managing petty cash
- Implement and maintain office policies and procedures to enhance productivity and organization
- Coordinate with external service providers, such as cleaning and maintenance crews
- Support HR functions by assisting with onboarding processes and maintaining employee records
- Proactively identify areas for improvement in office operations and suggest innovative solutions
Qualifications:
- Proven experience in office management, reception, or administrative roles
- Excellent organizational skills with the ability to multitask and prioritize effectively
- Strong communication skills in English and Albanian, both written and verbal
- Proficiency in Microsoft Office suite and Google Workspace
- Detail-oriented with a keen eye for accuracy and efficiency
- Exceptional interpersonal skills with a customer-focused mindset
- Ability to work collaboratively in a team environment while also taking initiative independently
- Flexible and adaptable approach to work, with the ability to thrive in a dynamic environment
- Problem-solving skills and the ability to remain calm under pressure
- Basic knowledge of accounting principles and budgeting
- Experience in managing office supplies and vendor relationships
- Familiarity with organizing events and coordinating travel arrangements
- Valid driver's license (preferred)
- Bachelor's degree in Business Administration or related field (preferred)

Additional Information:
The place of work will be at the headquarters of AUTO1 Albania, Tirana and the shifts provide a total of 40 hours per week, from Monday to Friday.
