Office Manager

Location: Durrës, Albania
Employment Type: Permanent | Full-Time

About the Role


We are looking for an experienced and highly organized Office Manager to support the day-to-day administrative operations of Metalogalva's new manufacturing facility in Durrës.

This role will be essential in ensuring the smooth operation of the office while providing administrative, HR, and operational support to the local management team and Portuguese expatriates during the factory's start-up phase.

Key Responsibilities
  • Manage the daily administrative activities of the office.
  • Provide administrative support to the Plant Manager and local management team.
  • Organize meetings, travel arrangements, accommodation, and agendas for visitors and expatriates.
  • Coordinate office supplies, equipment, and relationships with local service providers.
  • Maintain organized records, contracts, and company documentation.
  • Support employee onboarding and maintain HR documentation.
  • Liaise with Altair regarding employment contracts, payroll information, attendance records, and employee administration.
  • Monitor attendance, holidays, sick leave, and other HR-related documentation.
  • Support invoice processing and general administrative reporting.
  • Assist with purchasing requests and coordination of local suppliers.
  • Act as the main point of contact for general office matters.
  • Support communication between local employees and the Portuguese management team whenever required.
  • Ensure compliance with company procedures and administrative processes.
  • Required Qualifications
  • Previous experience as an Office Manager, Administrative Manager, Executive Assistant, or in a similar administrative role.
  • Experience supporting management teams in a corporate or industrial environment.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities simultaneously.
  • Excellent communication and interpersonal skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proactive attitude with strong problem-solving abilities.
  • Ability to work independently while supporting a growing organization.
  • Technical Skills
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Experience with document management and administrative reporting.
  • Previous exposure to HR administration and payroll support is considered an advantage.
  • Experience working with ERP systems is considered an advantage.
Languages
Albanian: Native.
English: Fluent (mandatory).
