FRONT OFFICE AGENT/RECEPTIONIST NEEDED IN MALTA

Reports to: Front Office Supervisor/Front Office Manager

General Responsibilities:

Must be fully customer focused with confidence, and must be approachable and show respect to all guests at all times. Anticipate and understand all Hotel Guests ‘needs, being attentive to all guests at all times. Take full ownership of each guest´s requests/complaints and see these through, following up as needed. Go above and beyond to make each guest´s stay a special and memorable one.

DUTIES

Daily Operation

· Welcome all guests and register them, and perform guests check in as per Hotel Policies.
· Listen to all guests’ enquiries/complaints and log them in as per Hotel Policies. Follow through to make sure that these requests/complaints have been handled/resolved.
· Report and turn in all lost and found items as per Hotel Policies and Procedures.
· Be familiar with any Hotel loyalty programmes.
· Be familiar with all guest rooms.
· Be fully aware of all rates and room availabilities and all times and assign rooms accordingly
· Be aware of any out of order rooms/maintenance needs in rooms and liase with all departments concerned. Follow through to know when these issues have been resolved.
· Assist in any additional tasks assigned by the Front Office Supervisor/Manager with a positive and can-do attitude
· Is flexible in his/her availability to be able to work shifts as needed.
· Process all transactions as per Hotel Front Office standards and procedures.
· Be responsible for your float and follow all cashing up and accounting procedures.
· Process all reservations and allocate rooms accordingly.
· Follow all policies pertaining to credit terms for corporate clients
· Know what functions/events are happening at the Hotel on a daily basis.
· Assist others as needed.

Appearance, Human Resources, and Training

· Maintains high standards of personal hygiene, appearance, and conduct
· Follows the /Hotel Uniform Policy and ensures that he/she is conforming to all Maltese Occupational Health and Safety laws.
· Maintains effective communication with all his/her colleagues
· Attends all training as required by the Hotel
· Develops effective relations with all colleagues
· Has thorough knowledge of all M Recruitment Company Policies and Procedures and follows them accordingly

Fostering Good Customer relations

· Smile and greet all guests whenever you come in contact with them
· Treat all Hotel Guests and other Hotel Customers in a polite and friendly manner, and remain calm and helpful always, especially during difficult situations
· Ensures guest satisfaction by anticipating needs, and attending to guest requests.
· Is aware of any VIP clients or any clients with special needs or requests present in the Hotel.

Safety and Security

· Is knowledgeable of fire, emergency, and evacuation procedures within the Hotel
· Ensures that his/her actions do not create any hazards for him/herself, colleagues, and guests alike
· Adheres to all existing Maltese health and safety laws and regulations
· Takes corrective and preventive action to prevent any possible accidents
· Reports any unsafe or faulty equipment to the housekeeping supervisor/executive housekeeper
· Takes proper care of all Hotel Property
