JOB PROFILE
Dompé is a leading Italian biopharmaceutical company whose main focus is developing innovative treatment solutions for rare, often orphan, diseases. Based in Milan, Dompé has a major industrial and biotechnology research site in L’Aquila and a R&D unit in Naples. As part of its international development strategy, Dompé opened offices in USA, Spain, Germany and France. In 2015, a commercial office was opened in Tirana, where the Group markets its Primary Care product portfolio and where Dompé is looking for an Office Manager – Permanent. Main responsibilities and tasks for the position

  • Devise and maintain office systems
  • Arrange country manager ‘s travels and accommodations
  • Screen phone calls, enquires and requests, and handle them when appropriate
  • Meet and greet visitors at all level of seniority
  • Organize and maintain diaries and making appointments
  • Deal with incoming email, faxes and post
  • Produce documents, briefing papers, reports and presentations
  • Organizing and attending meetings
  • Liaising with suppliers and staff
  • Provide administrative support
  • Record office expenditure and managing the budget
  • Maintain supplies of equipment
  • Maintain the condition of the office and arranging for necessary repairs
  • Implement and promote internal policy regarding the building and ensuring they are observed
  • Respond to customer requires
  • Support finance and procurement for documentation and systems management, including, but not only SAP, Bravo solution, Biz Travel, etc.
  • Administrative contract management for all functions in the office, for different areas as required.
  • Management of approval procedure of Engagement Requests, Purchase requests, and Purchase Orders in organization systems BS, docsweb, etc
  • Coordinate the process of product supply to the market. Forecast communication with manufacturing, monthly follow up of production and import in market.
  • Coordinate the documentation process with the supply chain team in Head Quarter. Check and collect the documentation for the drug agency and custom agency during imports.
  • Coordinate the procedure to import products samples, marketing materials and other goods according to business needs.
  • Be aware and compliant with the relevant law ethics and regulations and corporate procedures of the reference area
  • Abide the relevant internal polices and instructions regarding safety and health at work
Requirements

  • University degree
  • Fluency in English and Italian – written and spoken
  • Good computer skills, including MS Office (Excel, Power Point)
  • Optional: previous working experience in the role
  • Good communication skills, proactivity, teamworking, flexible thinking, integrity
  • Good organization skills, independent in performing the duties and in coordinating teams
  • Based in Albania
