For our organization we are looking for a Department Office Assistant.

SUMMARY
The Office Assistant will help with the organization and running of the daily administrative operations of Enrollment Department.


PRIMARY RESPONSIBILITIES

  1. Assist with day to day operations of the Enrollment Department functions and duties;
  2. Maintain and update support visits database of the Department;
  3. Receive, register and distribute post (envelopes) from Investigation team;
  4. Check, reconcile, record and send Annual leave and Overtime forms to HR;
  5. Maintain and update the information coming from Remote Staff regarding monthly physical inventory of Biometrics documents;
  6. Perform phone calls to CSO operators and citizens informing for any re-enrolment and maintain the re-enrolment file accurately;
  7. Schedule and plan meetings and appointments of the Department;
  8. Check in the Internal Reports the shipment of Biometrics documents sending to Remote Offices;
  9. Check in the Internal Reports the sending SMS to citizens for Fast track application;
  10. Perform administrative duties, such are scanning, copying, filing, writing, distributing, protocol, electronic correspondence etc.;
  11. Treat the requests for Office Consumables within Department;
  12. Maintain and update files for offices materials stock like paper and toner;
  13. Other duties as assigned by the Manager.

KNOWLEDGE AND SKILL REQUIREMENTS

  • University degree (preferably in Social Sciences);
  • Excellent knowledge of English language (written and spoken);
  • Proven experience as a back-office assistant, office assistant or in another relevant administrative role;
  • Good knowledge of Microsoft Office package (especially Word and Excel);
  • Excellent verbal and written communication skills;
  • Excellent organizational and time management skills;
  • Thorough understanding of office management procedures;
  • Able to work independently and in group;
  • Capable of self-setting priorities and organize the personal agenda of daily duties;
  • High sense of integrity and commitment;
