Title: Executive Assistant

Reporting to: General Director

Basic purpose: Assisting and providing administrative support to the General Director and top management

Key tasks:

· Assisting the General Director in his daily duties and managing the executive agenda
· Performing and providing support on general administrative duties and issues:
· Preparing/compiling materials for presentations for internal and external executives, the Board of Directors, Investors, and outside entities
· Collecting information from the responsible staff on inventory records and providing reports to the General Director upon request
- Drafting letters on various issues for General Director’s signature and ensuring records keeping of incoming and outgoing mail
- Answering, screening and directing all General Director’s incoming calls, visitors and correspondence, acting independently when possible
· Implementing Company’s HR Policy, by advising staff on the rules and procedures and making respective recommendation to the top management on HR issues
· Co-ordinating and following the process for the recruitment of new staff in the Company
· Ensuring employee orientation, development and training
· Acting as a focal point for staff development and career management related issues
· Administering compensation and benefits by ensuring staffs rights and obligations, as defined in Company’s HR policy
· Performing personnel administration work including renewal of staffs contracts, update and maintenance of individual files for each staff member, administration of annual and sick leave, mission records, etc.
· Co-ordinating and supervising Drivers’ work, ensuring preparation and processing of mission requests in due time
· Managing the fleet of vehicles ensuring maintenance of Company’s vehicles as and when required
· Coordinating various Company events
· Performing other duties when required

Candidate Profile

General Requirements:


· University degree preferable in Business Administration (Masters will be an asset)
· Minimum 4 years of relevant working experience in office administration and exposure to administrative management and HR issues
· Ability to handle sensitive and confidential matters and information with discretion
· Strong interpersonal, organization and time management skills
· Ability to handle multiple assignments simultaneously and meet deadlines
· Dedication to the job and resilience
· Strong communication and team working abilities
· Fluent English
· Excellent computer literacy (strong knowledge of Microsoft package)
