Sales Receptionist – Real Estate Project
Location: Toptani Center / COIN Center, Tirana.
Reports to: Sales Operations & Administration Executive
Work Schedule: Shift-based (including weekends and holidays as required)

The Sales Receptionist serves as the first point of contact for all visitors and prospective clients at the Toptani/COIN real estate stand. This role ensures a professional, welcoming environment while supporting the sales and administrative teams with day-to-day operations.

KEY RESPONSABILITIES:
  • Serve as the first point of contact for all visitors and potential clients.
  • Welcome guests warmly and ensure they are properly signed in and logged into the CRM system.
  • Offer refreshments and maintain an organized and pleasant waiting area experience.
  • Manage and coordinate schedules for Sales Executives and Senior Sales Managers.
  • Ensure the conference/meeting rooms are ready, clean, and properly equipped before each meeting.
  • Coordinate meeting room bookings and ensure availability for all teams.
  • Answer phone calls and inquiries, providing accurate information or directing calls appropriately.
  • Present the project to walk-in clients, providing an initial overview or presentation when needed.
  • Ensure the sales office and show suite are clean, organized, and presentable at all times.
  • Coordinate with housekeeping and maintenance teams for daily upkeep.
  • Distribute physical brochures, marketing materials, and contracts as required.
  • Manage office/stand and promotional supplies, ensuring sufficient stock levels at all times.
  • Support sales and admin teams with any ad-hoc duties related to client experience and project operations.
QUALIFICATIONS:
  • Previous experience in customer service, reception, or real estate sales support preferred.
  • Excellent communication and presentation skills.
  • Professional appearance and client-oriented attitude.
  • Ability to work in shifts, including weekends and public holidays.
  • Basic computer literacy (MS Office, CRM systems).
  • Fluency in English and Albanian (additional languages are an advantage)
