Job Position: Administrative Assistant to CEO Department: CEO’s Office Location: Tirana Summary: Reporting directly to the CEO, the Administrative Assistant provides administrative support in a one-on-one working relationship by handling a variety of tasks to ensure that all interactions between the CEO and other stakeholders, subordinates and employees are positive and productive. The Administrative Assistant must be creative and enjoy working within a very complex, entrepreneurial environment that is mission-driven, results-driven and business oriented. The ideal individual should be able to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Main Responsibilities Completes a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including arranging travel arrangements and keeping track of their itineraries, agendas and documents for travel-related purposes; providing a hospitable welcome and environment to all guests; processing and distributing daily mail; maintaining contact lists; and compiling expense reports. Provides sophisticated calendar management for the CEO. Prioritizes inquiries and requests while troubleshooting conflicts; makes judgements and recommendations to ensure smooth day-to-day engagements. Provides a bridge for smooth communication between the CEO and internal Departments; demonstrating ability to maintain credibility, trust, and support with Senior Management staff. Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense of the issues taking place in the environment and keeping the CEO updated. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks. Handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures Handles confidential information and documents ensuring they remain secure. Routing all documents that require CEO signature, performing basic controls on documents submitted for CEO attention. Ensures that the CEO is updated and responds to requests for materials regarding the organization in general. Edits and completes first drafts for written communications to external stake holders. Performs other job-related duties as assigned. Supports the Office Coordinator in their absence. Competencies and Requirements Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and investors. High level of written and verbal communication skills. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Emotional maturity. Highly resourceful team-player, with the ability to also be extremely effective independently. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment. Forward-looking thinker, who actively seeks opportunities and proposes solutions. Bachelor’s Degree in Social Sciences or Business Administration field. Minimum of 2 years’ experience in administrative positions managing, coordinating meetings and appointments. Fluency in English Language is a must. Job Position: Board Secretary Department: CEO’s Office Location: Tirana Summary: The Board Secretary offers executive support for the smooth operation of the Group Management Board (GMB) and other management meetings. The Board Secretary serves as an active communication source between board members. He/she handles proactively collaborating with board members to set up meetings, giving proper notice of any meetings, and promptly distributing materials like agendas and minutes. The Board Secretary is responsible for documenting the Board's meetings and preparing minutes therefore, which shall include discussions and deliberations carried out during such meetings and recording the resolutions of the Board and voting results and retaining them in a special and organized register. Main Responsibilities Planning, organization, and coordination of the preparation of GMB meetings and other Management meetings in Group Level. Prepares the agendas for the Management Board and committee meetings in consultation with the CEO. Prior of the meetings, the Secretary distributes the agendas and other supporting documentation to the members. Timely prepare the minutes of each of the Board and Management Meetings. To align and achieve the pre-approval of the responsible GMB member for the prepared minutes before asking the GMB for approval of the minutes. To ensure the approval of the minutes in the very next GMB meeting. Archives the decisions of the GMB (including its committees), as well as of other relevant documents. Follow - up on the actions and tasks left by the GMB and other management bodies. Must ensure that all reports submitted to the board or prepared by it have been retained physically and electronically. And that all board members comply and commit due to Board charter regulation. To ensure a duly communication of all decisions passed by GMB (and its committees) that are of importance for the entire Group; Research and investigate information to enable strategies decision-making by the CEO of Balfin Group. Provide follow up to assignments given to management staff by CEO and provide status reports to CEO. Maintains discretion and confidentiality in relationships with all GMB members and other managers. Performs other job-related duties as assigned.
