BIA Advisory Services Shpk is seeking to hire an Office Manager (female) for an international company for their Head Office in Lushnja.
The Office Manager reports to the General Manager and will have as a main object to manage the day to day office duties. The office administrator ensures smooth running of the company’s offices and contributes in driving sustainable growth.

The foreseen tasks include but not limited the following activities:

  • Coordinate office activities and operations to secure efficiency and compliance to company policies;
  • Manage agendas/travel arrangements/appointments etc. for the upper management;
  • Manage phone calls and correspondence (e-mail, letters, packages etc.), develops and maintains office archive and office library;
  • Manages, develops and organizes office documentation. Manages and keeps records for copy of every document produced in the office or related to office operation;
  • Submit timely reports and prepare presentations/proposals as assigned;
  • Responsible for organizing office activities, staff meetings, hosting visitors;
  • Coordinates and collaborates with staff office to address specific needs related to office equipment, communication and access to information;
  • Translation support for office documents as required;
  • Provides logistics and coordinates administrative support for training and support other events or activities as well;
  • Manages budgeting and bookkeeping procedures, relevant to financial matters and personnel administration and keeping close relation with the finance office;
  • Create and update records and databases with personnel, financial and other data;
  • Develops and maintains professional contacts with third parties;
  • Daily, weekly and monthly reporting with use of CRM software.

Requirements

  • University degree in economic studies;
  • Minimum 3 years working experience in Finance or office assistance;
  • Very good coordination skills (individual and group);
  • Excellent communication skills (individual and group);
  • Good skills of time management;
  • Ability to work in team;
  • Excellent knowledge of English language;
  • Very good knowledge of MS Office (MS Excel in particular);
  • Analyzing and problem-solving skills.
