Commercial & Administrative Assistant

We are looking for a referent who will take care of the standard activities related to the distribution.
The majority of the activities are based on, and managed by, our custom-made software that integrates all the steps from commercial to production, from logistics to administration, etc.

A great part of the activities is fully, or mainly, automated.
The referent will have to keep the software updated and support/guarantee the success of the flows. More details are in the "main duties" section.

Required skills,
- fluent in English with meaningful experiences in UK-speaking Countries or consistently working in English with well-educated foreigners.
- used to handle numbers and to work with information systems.

Preferred skills,
- communication - in B2B relations, experience in direct contact with Western and North European Customers. (relations B2C not useful)
- administration - experience in administrative tasks, like document creation and registration, payments, etc.
- logistics - experience in international (European and extra-European) logistics.

Main duties:
The referent will mainly manage the sales/distribution flow, having 3 main areas of activity: administration, commercial and logistics.
1) Administration:
- create, verify and register sales documents (invoices, transport documents, labels, etc.)
- collect, verify and register purchase documents and contracts for the accountants,
- check for payments received and order payments for invoices, contracts and taxes.
2) Commercial:
- receive, register and answer Customer requests, including preparing and managing offers,
- receive, verify, register and confirm Customer orders,
- follow and support the production flow, up to the completion of the delivery and payment.
3) Logistics:
- request and collect offers from logistics suppliers,
- order deliveries and give instructions for documents,
- collect CMR and proof of delivery from logistic suppliers.

Work conditions:
- salary will be adequate to the level of the candidate and the offer will be based also on the candidate's expectations,
- working days: all days from Monday to Friday, except 2 weeks of holidays in the middle of August, and 2 weeks at the end of the year. No National holidays are considered.
- working time: from 9 to 13 and from 14 to 18.
- working place: Bllok Area
