In short:

it is about organizing meetings, making travel arrangements, answering the phone, managing the agenda of the General Manager and Customer Service Operations manager and giving administrative support in general to the service technicians.


PRIMARY RESPONSIBILITIES
  1. Answer telephones and transfer to appropriate staff member.
  2. Meet and greet clients and visitors at all levels. Make orders for coffee, tea etc.
  3. Organizing and maintaining diaries and making appointments
  4. Create and modify documents using Microsoft Office.
  5. Perform general: photocopying, faxing, mailing.
  6. Maintain hard copy and electronic filing system.
  7. Sign for and distribute DHL, UPS, FEDEX etc
  8. Research, price, and purchase office furniture and supplies.
  9. Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys.
  10. Setup and coordinate meetings and call conferences.
  11. Maintain daily Agenda schedules.
  12. Collect and maintain inventory for chancellery, office supply, keeping invoices etc.
  13. Support staff in accommodation reservations, ticket reservations, transport in and out of office.
  14. Translation of different documents
  15. Other duties as assigned.
ADDITIONAL RESPONSIBILITIES
  1. Provide office orientation for new employees.
  2. Set up accommodation and entertainment arrangements for company visitors.
