Job Title: Reception (seasonal position)
Department: Resort Operating & Hospitality
City: Green Coast Resort & Residence, Palasë/Vlorë

Summary: Reception will assist in management of daily Front Office operations and work with customers and guests as part of a project used to demonstrate capabilities required in the mix used development resort management sector.
Reception is responsible for managing the first impressions of our guests and, therefore, must perform the following tasks to the highest standards.
Job Position Main Responsibilities:
  • Welcomes and greets guests
  • Answers and directs incoming calls
  • Informs guests of rented villas rates and services
  • Makes and confirms reservations for guests
  • Ensures proper villas allocation
  • Registers and checks guests in
  • Confirms relevant guest information
  • Verifies guest's payment method
  • Verifies and imprint credit cards for authorization
  • Maintains clear and accurate records of guest room bookings
  • Computes all guest billings, accurately posts charges to guest rooms and house accounts
  • Receives and transmits messages for guests
  • Retrieves mail, packages and documents such as faxes for guests
  • Listens and responds to guest queries and requests both in-person and by phone
  • Provides accurate information about local attractions and services
  • Liaises with necessary staff including housekeeping and maintenance to address any problems or complaints made by guests
  • Completes and maintains any incident reports, daily activity reports or other reports requested by management
  • Manages conference room bookings and scheduling
  • Closes guest accounts and checks guests out
  • Revises accounts and charges with guests during the check-out process
  • Processes accurate payment of guest accounts
  • Informs housekeeping when rented villas have been vacated and are ready for cleaning
  • Leads guests to their villa
  • Enforces the rules and policies of the Resort
  • Maintains a neat and orderly front desk and reception area
  • Receives information from the previous shift and passes on pertinent details to the oncoming one.
  • Welcomes customers upon entrance and confirms reservations
  • Acts as the point of reference for guests who need assistance or information and attends to their wishes and requirements
  • Understands customer’s needs and provides them with personalized solutions by suggesting activities and facilities provided by the Resort
  • Acquires extensive knowledge of the premises and the nearby venues and businesses to make the most suitable recommendations
  • Arranges events, excursions, transportation etc. upon request from resort residents
  • Answers the phone and make reservations, takes and distributes messages or mail and redirect calls
  • Responds to complaints and finds the appropriate solution creates and publishes job ads in various portals

Requirement for the job position:
  • Proficiency in English;
  • Multilingual is strongly preferred
  • Guest/customer relations experience, preferably in a hospitality environment
  • Polite and confident with a great deal of patience
  • High school diploma; degree in hotel management or relevant field will be a plus
  • Strong working knowledge of relevant computer software including MS Office and booking and payment system
