We are looking for an

Administrative and Office Assistant Albania
(Temporary maternity cover position, based in Tirana)



Key responsibilities:
• Provides full range of Administrative support (invoice initiation, sourcing procedures, contract signing, acquiring approvals according to the Delegation of Authorities, submitting special orders)
• Cooperates and communicates with local vendors and State Authorities
• Manages office services: Cleaning, Subscription, Office supplies, Health and Safety, Stationary, etc
• Manages the budget of Administration & Facility department;
• Provides support for Finance: gathers invoices, initiates Purchase orders and cooperates with the Local Accounting Company on the timely deliverance of financial documents
• Provides support to Human Resources: prepares the monthly attendance sheet, facilitates the recruitment process when appropriate; maintains Associate personal files in line with the Labour legislation
• Organizes team-buildings, employee events and trainings, Communication meetings; facilitates CSR events if necessary
• Supports the Marketing department with translation of promotional materials
• Organizes/Facilitates management meeting, business reviews, and other special events
• Supports the National Sales Manager in all travel and meeting arrangements, obtaining visas or with any other administrative tasks

Requirements:
• Higher education
• At least 2-3 years on relevant position
• Strong communication, negotiation and organizational skills
• Ability to work under pressure and manage with multiple tasks
• Excellent English knowledge both written and spoken
• Good business understanding
• Makes decisions that can impact office effectiveness
