The Water Supply and Sewerage Association of Albania (SHUKALB) is seeking to hire a person to fill the part-time position (50%) of Project Coordinator for the project "Sustainable Water Sector Capacity Development in Albania". This position will be responsible for directly assisting the Project Manager and providing support to the Project Team on the day-to-day Project activities, in order to ensure office management systems are functioning appropriately and to manage administrative support needs for the Project Team.

This position reports directly to the Project Manager.

The responsibilities of the Project Coordinator include the following:

  • Setup and maintain a Project documentation system, and provide information on its use to the Project Team.
  • Implement and oversee the Project Branding and Marking Plan, to include drafting of Project Press Releases, and any other materials as specified in the Plan.
  • Provide organizational/logistical support to any activities/trainings undertaken by and within the Project.
  • Support the Project Cost Control staff with the documentation of Project office purchases.
  • Be the first point of contact for the Project (e.g. telephone and visitors to the Project office).
  • Directly support the Project Manager in the preparation of Project correspondence, presentations and/or reports.
  • Respond to requests for information on the Project from SHUKALB members and other stakeholders.
  • Organize logistics for all travel of the Project Team and Project Experts, Project meetings, and record the minutes of the meetings, as directed by the Project Manager.
  • Check and order all office supply needs of the Project.
  • Oversee the performance of the employed Project office maintenance staff.
  • Facilitate document issue process, and manage the publication of Project Reports and Materials.
  • Assist the Project Manager and Project Team with document distribution, scanning, copying, printing, etc.
  • Maintain databases of contacts related to different activities of the Project.

Candidates for this position should have the following minimum qualifications and experience:

  • A university degree in human resources management, business administration, communication, or any other related field.
  • Minimum of one year administrative office support experience.
  • Native Albanian speaker with ability to communicate (oral and written) in English.

The candidates are required to have the following skills:

  • Initiative and ability to work with little direct supervision.
  • Effective computer skills; Microsoft Office Software including Excel.
  • Effective communication skills both verbal and written with superiors, colleagues, and individuals inside and outside the Project.
  • Effective analytical and problem-solving skills.
  • Ability to multi task effectively.
  • Ability to work as part of a team.
  • Maturity in maintaining Project confidentiality.
